A useful repair enquiry does not need to be a technical report, but it should identify the equipment and describe the failure accurately. Good initial information helps distinguish a repairable electronics problem from a compatibility, installation or machine-level issue before equipment is shipped.

Provide complete identification

Include the manufacturer, model, complete part or type number and serial number where appropriate. Photograph the entire identification label in focus. If the assembly contains separate boards or option modules, include their labels as well as the name of the complete unit.

Avoid relying only on a handwritten store description or the family name used on site. Suffixes and revision numbers can determine whether reference data, spares or exchange stock are relevant.

Describe what the machine actually did

Report the observed symptom in practical terms: would not power, tripped during operation, intermittent shutdown, no output, communications lost or visible damage after an event. Include the exact error code and wording where available rather than translating it into a guessed diagnosis.

If the fault is intermittent, note the conditions under which it occurs—temperature, load, startup, long running time or a particular machine sequence. This context can be useful without revealing any internal repair method.

Explain the circumstances of failure

Mention any known supply event, motor fault, cooling failure, water ingress, contamination, mechanical jam or incorrect connection. State whether another unit was installed successfully in the same machine. This can change both repair feasibility and the precautions needed before a repaired unit returns to service.

Previous repair history is also relevant. If the equipment has been worked on before, provide any available reports and describe whether the same symptom returned.

Send clear, useful photographs

Photographs should identify the equipment, not encourage unsafe disassembly. Do not remove covers from energised or hazardous equipment. Site access and isolation procedures remain the responsibility of the qualified person handling the installation.

  • Visible damage or contamination
  • Associated board numbers where safely accessible

State the practical requirement

Explain whether the machine is stopped, whether a spare exists, and whether you are seeking repair of the original unit, a refurbished exchange, an assessment or support for planned spare stock. An honest urgency helps the workshop respond with a realistic route rather than an unsupported turnaround promise.

If a replacement has been proposed, mention whether it is genuinely compatible or would require modernisation work. The commercial decision often depends on the wider machine, not only the failed electronics.

Practical conclusion
